FreshBooks New Review

Running a small business requires putting on different hats. Billing, unfortunately, isn’t always the fun hat to wear. Between meeting client expectations and keeping your business afloat, billing can be that huge pain you often dread at the end of the week.

Freshbooks is invoicing and accounting software that makes billing easy, transparent, and fun for everyone. With its brand new interface, an update on an app originally launched in 2004, the app is just as powerful as it is user-friendly. Invoicing, expense and time tracking, client management, and everything else that you need to run your business are a tap away in Freshbooks.

The beauty behind Freshbooks is how easy it is to manage every aspect of the billing process. You waste no time searching for important information about each sale, or losing hold of your billing as your business grows. As soon as you log in, your Dashboard presents an overview of total profit, outstanding invoices and revenue, total spending, and links to reports that you can view or present to your accountant. The user experience is beautifully simple, and doesn’t get in the way of your work.

Invoicing is the starting point of every sale, which is why it’s crucial to get every invoice right. On Freshbooks, you work directly on the invoice so nothing falls through the cracks. You can save items you bill for future use, add expenses incurred, and provide summaries or notes for context. The invoice settings enable you to perform other actions, such as activating credit card payments, customizing the look and feel of your invoice, schedule reminders, and charge late fees. Once your invoice is ready for your client, just hit the big green Send button.

The Invoicing section provides an equally detailed overview of your invoicing activities. Switch between invoices sent from and by you to easily see how much is due or paid for. You’ll find a row of your recently updated invoices below this, as well as a full list of invoices with the ability to search for invoices issued within a specified date range. This way you’ll never have to worry about sifting through hundreds of paper invoices when the need arises.

As your clientele expands, you need the ability to quickly sort and manage all of your client information. The Clients section handles this very well. The overview shows clients with outstanding balances and invoice drafts you’ve yet to send. Clicking on a client card shows you both your client’s information and recorded activities, such as invoices sent or paid for. Within this same page, you can easily add internal notes, delete the client’s profile, or generate an invoice drafted for him or her.

Most invoicing apps focus solely on generating and sending invoices. Freshbooks is packaged with other useful tools to manage your business, such as expense tracking, project collaboration, and time tracking. Expenses, for instance, are tracked by either entering each purchase manually, or connecting your bank to your Freshbooks account using their Bank Connections feature. It supports over 14,000 financial institutions and utilizes 128-bit SSL bank-level security, empowering you to import and track your expenses in time for billing and taxes.

The Projects and Time Tracking sections operate independently yet go hand-in-hand. The Projects section is basically a message thread where you and your colleagues can communicate and share project files with one another. No tasks, sub-tasks, and the like are built in. Instead, you’d switch over to Time Tracking to enter timer entries for tasks related to the projects you’ve created. Each entry displays a short form where you’d select the client, project, type of service, and description of the task you’re tracking time for. Billable entries are then added to the list of items to bill when issuing the next invoice.

At the end of the day, Freshbooks puts you on top of your cash flow, your clients, and your business as a whole. You never have to worry about missing an invoice, forgetting to collect unpaid dues, and losing invoices just when you need them the most. And with client management, expense and time tracking in one place, you might just look forward to each billing day after all.
