Connect Projul and Setmore Appointments to power AI-driven automation

Copies a schedule template's tasks onto a project or lead you already have, starting on the date you give. A scheduled estimate meeting moves a lead along your pipeline as it does in Projul, and workers get their usual task reminders. Nothing is sent to the client.

Marks a Projul task complete, or reopens it. Running it twice is harmless. Careful with EstimateMeeting and EstimateToWrite tasks: completing one of those moves a lead along your sales pipeline.

Starts a project's daily log for one day in Projul, as a draft a person signs in the app. A project has one log per day. Needs the Daily Logs feature on your Projul plan.

Builds a draft estimate from one of your estimate templates, copying its sections, lines and pricing. The estimate is created as a draft, and sending it and getting it approved stay human steps in Projul.

Creates a task in Projul and puts it on the schedule. Map a calendar event's start, end, and attendees straight in. Set the External reference to the event's id so a later edit can update this task rather than creating a second one.

Updates a project in Projul. Fields you leave blank are left alone rather than cleared. Changing the status out of a lead stage marks the lead as won and fires the Lead Converted to Job trigger.

Adds a photo or document from an earlier step to a project or lead in Projul, where it shows in the project's files. Accepted types: jpg, jpeg, png, gif, bmp, pdf, txt, csv, doc, docx, xls, xlsx.

Finds a client by name, email, phone, company, your own External reference, or their Projul Client number, or by the Client ID from an earlier step.

Finds an invoice by its number, your own External reference, or its Projul id from an earlier step. When several invoices share a number, the one still awaiting payment is returned, and the search stops rather than guess between two of them.

Posts a message onto a project, task, client, or estimate in Projul. This is an internal note. It cannot send anything to a client.

Archives a client in Projul, taking them out of the active list. Reversible in the app. There is deliberately no Delete Client action: deleting a client also deletes their jobs, estimates and invoices, which is not something a Zap should do unattended.

Creates a client in Projul, or links to the one you already have. Projul matches on both names plus an email or phone, so running this on a list you have imported before will not produce duplicates. A client with only one name links only to the one client with that email whose first or last name it is; otherwise a new client is made. For a business with no person to name, fill in Company and leave both names blank.

Creates a draft purchase order in Projul for a vendor or subcontractor, numbered by your account's rules and priced by Projul from each line's quantity and unit price. Nothing is sent to the vendor. Needs the Purchase Orders feature on your Projul plan.

Creates a lead in Projul. A lead is a project in a lead stage, so this creates a project and links it to a client, matching an existing client rather than duplicating them.

Records a finished shift for an employee in Projul, unapproved, so a person approves it as usual. Pay comes from the payroll item and the employee in Projul, never from the Zap. Time added inside a signed day or pay period voids that signature.

Records a payment that reached you outside Projul, such as a financing payout or a check, against a published invoice. Its balance and status update, and nothing is sent to the client.

Updates a client in Projul. Fields you leave blank are left alone rather than cleared. If someone edited this client in Projul since your Zap last read it, the update is refused rather than overwriting their change.

Updates a task in Projul by its id. Fields you leave blank are left alone rather than cleared. Use it at the end of a Projul to calendar Zap to store the calendar event's id in External reference, so a later change to that event updates this task instead of creating a second one.

Creates a task in Projul, or updates the existing one with the same External reference. Use this for calendar sync: point External reference at the calendar event's id and a moved or edited event updates the same Projul task instead of creating a duplicate. To change a task you already have the id of, use Update Task.

Finds an estimate by your own External reference, by its Projul id from an earlier step, or the most recently updated one for a project, client, or status.

Finds a project by your own External reference, by its Projul project number, name or id, or the most recent one matching a client, stage or status. A lead is a project, so this finds leads too.
