4 ways to automate Plaud with Zapier

Plaud is an AI notetaker that records your conversations and turns them into transcripts and summaries. But it has one trick most AI meeting assistants don't: wearable hardware. That means you can capture in-person conversations just as easily as Zoom calls, so it's useful for everything from sales follow-ups and client meetings to interviews and user research.

The problem is that transcripts aren't very useful when they live in yet another app nobody remembers to check. The real value is in what you do after the recording ends—getting those notes, tasks, and recaps into the tools where your team actually works.

That's where Zapier comes in. When you connect Plaud to Zapier, you can automatically archive transcripts to your file storage, push summaries into Notion or OneNote, surface action items in your task manager, or share recaps in Slack and Teams—without lifting a finger after the conversation wraps up. Instead of transcripts living in their own silo, Plaud becomes the capture layer, and Zapier handles the routing, organization, and follow-through that simplifies and scales your work.

Zapier is the most connected AI orchestration platform—integrating with thousands of apps from partners like Google, Salesforce, and Microsoft. Use forms, data tables, and logic to build secure, automated, AI-powered systems for your business-critical workflows across your organization's technology stack. Learn more.

To get started with a Zap template—what we call our pre-made workflows—just click on the button. It only takes a few minutes to set up. You can read more about setting up Zaps here.

Auto-archive Plaud call transcripts in your file storage

Plaud's main attraction is its compatibility with wearable hardware. But when you use Plaud to take notes on everything from team Zoom calls to coffee chats with your mentor, your transcripts will pile up fast.

It's usually easier to store those files where you and your team already work, like your shared drive, rather than adding another place everyone has to remember to check. With Zapier, you can automatically save each new Plaud transcript and summary to your file storage, whether that's Google Drive, Dropbox, OneDrive, or another service.

Grab one of the simple Zap templates below, and you can start building a living archive for all of your Plaud transcripts. You can even incorporate Plaud's titles and timestamps into your filenames to keep your filesystem organized.

Pro tip: Use a formatter step to clean up Plaud's auto-generated titles before they become filenames. Strip out filler words, standardize date formats, or convert to title case so your Drive or Dropbox stays organized without manual renaming.

Build a self-updating knowledge base in your notes and wiki tools

Cloud storage services are great for keeping transcripts safe and organized, but a notes or wiki tool can make transcript data more useable for daily work.

Imagine you're on a sales team and you're joining a follow-up call with a prospect you haven't spoken to in a few weeks. The information you need for the call is spread across recordings, chat threads, and half-finished notes. What if you had a self-updating knowledge base that had all the notes you need for your upcoming call instead?

Automation can turn Plaud into the knowledge base you need. When a transcript and summary are ready, Zapier can automatically create a new database item in Notion or generate a new note in OneNote or Evernote. Later, if you want to revise a summary or add some strategy notes, you can update the record in Notion or OneNote to keep everything organized. You'll spend less time reconstructing context and prep for meetings more quickly.

Create tasks and issues from conversations

Most teams don't struggle with taking notes. They struggle with completing the tasks and follow-ups agreed to during meetings. You can take the headache out of the process by automating it: use the transcripts and summaries Plaud generates to automatically surface downstream work in your task or issue-tracking system.

For example, Zapier can use a Plaud summary to create a new monday item as soon as the notes are ready. Or, for product and engineering teams, you can instantly create Jira issues from key takeaways. That way, the action items are created consistently, even when no one has time to write them up.

If you want to go a step further, you can add an AI step to use Claude or ChatGPT to extract action items from the Plaud summary. Instead of pushing the entire summary into a task manager, the AI step can pull out discrete tasks, owners, and due dates when they're mentioned, then output those tasks as line items. Then, you'll want to use a looping step to add each task to your to-do list.

Share call summaries with team members

One of the biggest benefits of AI notetaking tools like Plaud is the ability to share meeting recaps with people who weren't in the room (or joined late) without creating more work for the meeting host. Automatically sharing a summary can keep your entire team aligned through the worst schedule conflicts or time zone struggles.

With Zapier, you can route Plaud summaries to your team's preferred communication channels. Post them to a Slack or Microsoft Teams channel, send a direct message when only one person needs the follow-up, or email a recap through Gmail or Outlook. It's an easy way to make meeting outcomes visible to everybody who needs to stay in the loop (even your chronically double-booked manager).

Pro tip: Rather than posting every single call summary to Slack the moment it's ready, use Digest to roll them up into a daily or weekly roundup message. That way, you get one clean post to a channel instead of an avalanche of individual notifications.

Put your Plaud notes to work with Zapier

When you connect Plaud to Zapier, transcripts and summaries stop being passive records and start feeding into the rest of your workflow automatically.

If you're not sure where to start, pick the Zap template that removes the most friction for your team—whether that's archiving recordings to your file storage, building a searchable notes hub, creating tasks and issues, or sharing recaps with the people who need them. Get one running reliably, then layer on the next one as your needs grow.
