How to Get Started with Calendly on Zapier

About the Calendly Integration#

  • Admin/owner permissions: Zaps behave differently for Owners and Admins (i.e. Triggering off of changes by all users) versus users with fewer permissions (i.e. Triggering only off your own changes)
  • Paid/versioned account: Requires a paid Calendly account

Setting up the Calendly Integration#

When you start creating a Calendly Zap, you will be prompted to connect a New Account:

Select Calendly Account

Click the button and a pop-up would appear. Enter your Calendly API Key

Once you've entered the correct API key details, the pop-up would disappear and you will see the Calendly account added to your Zapier account and is ready for selection.

Common Problems with Calendly on Zapier

My test step is continually running without any results. Or, you're getting a "Problem creating Webhook Subscription" error.#

In order to use Calendly with Zapier you must have a premium/paid Calendly account, as noted here: https://help.calendly.com/hc/en-us/articles/235289507-Zapier

I need to trigger on rescheduled appointments#

When an appointment is rescheduled on Calendly, the mechanics of that action are such that the original appointment is canceled and a new appointment is created. Depending on what you're looking to accomplish, you can use multiple Zaps with both "Invitee Created" and "Invitee Canceled" triggers to achieve your desired workflow.
