'Easy automation': How Zapier helped this Spanish eCommerce company scale

If you're doing home renovations for the first time, walking into a warehouse can be intimidating. Materialesdefabrica.com, based in Spain, makes it easy to shop online for fixtures and other supplies for the next big home project. 

When the company launched a decade ago, they were getting three or four orders a day. As order volume increased and they introduced their European eCommerce site Habitium, CEO Jaume Riutord turned to Zapier to help handle the load.

The challenge: Automating order fulfillment 

"The order process was totally manual," at first says Alejandro Garcia, Materialesdefabrica.com's marketing manager. "An order was created in Trello manually, with all the data—order number, reference, brand, distributor, price. It took around seven minutes to create an order." 

The entire process is now automated with two Zaps—the word for Zapier's automated workflows. 

The company uses Zapier's Email Parser to start their automated processes. (Their eCommerce platform, Prestashop, doesn't have a Zapier integration.) Whenever someone places an order at Materialesdefabrica.com or Habitium, the order confirmation email is automatically sent to the parser. The parser grabs all the necessary information so it can be sent elsewhere.

Then, using that information, Zapier creates a Trello card with order details and adds the information to a Google Sheet. These two steps make sure fulfillment managers have everything needed to complete and ship the order.

The second Zap parses the same customer email to generate a ticket in Help Scout. A member of the customer support team will review and approve the order, passing it on to the manufacturer or distributor so the order can be fulfilled.

"Zapier gives us easy automation for orders and the process is more simple for everyone," says Jaume.

Results

Zapier has helped Materialesdefabrica.com and Habitium save more than six hours a week on order fulfillment alone. Employees can focus on serving customers and handling any issues with orders. 

The time saved has also helped the company scale: both stores generate more than 15 million euros in sales a year and average more than 300 daily orders—and they're not stopping. Habitium plans to expand to the United Kingdom soon.
