Marcus Rush is the founder and Team Leader behind Rush Home, a residential real estate brokerage with eight real estate agents. A year ago, he was using various tools to build automations that connect to Follow Up Boss, his CRM. That system worked, but he wanted to create a more efficient one. The challenge was that every workflow he built was limited to whatever triggers and actions the platform already had.
What he built
Marcus built what he calls "Russ," an AI agent with its own email address that runs the brokerage's daily operations, from lead scoring to agent notifications to calendar management. Russ has been an ongoing project for Marcus. But it wasn't fully operational and impacting his business until Zapier MCP helped connect the outputs to his team's day-to-day work.
The core of Russ is a custom lead-scoring algorithm built on Claude. It runs across a database of 11,000+ contacts, and whenever a new interaction crosses its digital desk, it recalculates the score—weighing lead source, buyer vs. seller signals, geographic focus, price points, response timing, and call duration. The updated score then flows back into Marcus' CRM.
From there, Russ sends each of Marcus' agents—his human agents—a daily brief email every morning with a list of ranked leads. Plus, the message comes with follow-up or introduction tactics for each lead that were put together using their CRM notes.
Efficiency and speed are the name of the game, given the volume of leads they handle. With Russ and Zapier MCP, Marcus' agents no longer need to log in to Follow Up Boss to determine who to call. Instead, they can simply start their day with Russ' message and jump right in.
Marcus is running pilots for himself to see what other efficiencies he can create for his business with Claude and Zapier MCP. He's currently testing having Russ manage his calendar. It scans his email and handles any necessary scheduling, runs, and updates, all from a dedicated workspace account.
What Zapier MCP made possible
Before Zapier MCP, if Follow Up Boss didn't have a trigger for something, Marcus couldn't automate it. The workflow just didn't exist.
"In the past, with any automation tool, unless you had sophisticated dev skills, you could only do what was already built. With Zapier MCP, as long as I have the API docs, I can build exactly what I want. We're not limited to a trigger anymore."
Zapier MCP let him build a custom API layer on top of Follow Up Boss and wire it to Claude for scoring, Slack for agent notifications, and Gmail for calendar.
"Once I got the lead scoring working, I started seeing everything else I could connect. Calendar, email, renter profiling. The ceiling I kept hitting with other tools just isn't there anymore."
What the brokerage looks like now
A year ago, Marcus and his team were working around the limitations of every automation tool he tried. Now they start the day by checking in with an AI agent Marcus built himself. His trusty AI, Russ, scores leads, writes the follow-up plans, and manages the calendar, which means Marcus is free to focus on managing the team and the business.
