Integrately vs. Zapier: Which is best? [2026]

By Ryan Kane · January 26, 2026

Most businesses sign up for an automation platform to fix a specific annoyance. There's only so much copy-paste work you can take before you finally reach the limits of your patience, search "Typeform to HubSpot automation," and find yourself researching whether Integrately or Zapier is the right fit.

Integrately is an automation-only platform that's built for one-off workflows like this. But sooner or later, most businesses start asking more questions, like: "Can we filter leads before adding them? Can we route them to different teams? Can we store this data somewhere and build an internal dashboard? Can we create an AI agent to qualify leads automatically?"

With Zapier, you can do it all in one platform. It's easy to start with simple automations, but Zapier also grows with you as your needs evolve, letting you create sophisticated multi-product workflows that combine agents, chatbots, databases, and forms.

I tested both Integrately and Zapier to understand what each does best. Here's a full comparison to help you decide which one works for your business.

Table of contents:

  • Zapier vs. Integrately at a glance

  • Both are easy to use, but Zapier is far more advanced

  • Integrately is automation-only; Zapier offers complete AI orchestration

  • Zapier offers far more control for teams and enterprises

  • Zapier is more proven for business-critical workflows

  • Zapier connects with 6x more apps than Integrately

  • Integrately appears cheaper, but Zapier's workflows use fewer tasks

  • Integrately vs. Zapier: Which is best?

Zapier vs. Integrately at a glance

Both platforms let you automate workflows between apps, but Zapier offers an AI orchestration platform that lets you connect workflows, agents, chatbots, tables, and forms to create full business systems.

Here's a quick rundown, but make sure to read on for a fuller comparison.

Starts at $19.99/month for 750 tasks or $69/month for 2,000 tasks (up to 25 users); internal logic steps (filters, formatters, routers) are free and only completed actions count as tasks

Integrations

1,400+ apps; focused on small business tools

8,000+ apps; more triggers and actions per app

Both are easy to use, but Zapier is far more advanced

Integrately isn't shy about its focus: simplicity. Unlike Zapier, Integrately only offers automations, and while that approach has drawbacks—as we'll explore shortly—it also enables a straightforward set of options for beginners who only need to connect one app to another.

The Integrately landing page, where you can start building automations

Integrately gives you a few ways to create automations:

  • Use Integrately AI to generate workflows by describing what you need

  • Select a ready-made automation (like Create ClickUp task for new Trello card)

  • Ask Integrately's team to guide you on live chat or via a screenshare

What differentiates Integrately most among automation platforms is its live chat support, which is available on all plans (including free plans). While this level of support is a nice perk if you're a complete beginner, it's less comprehensive than its marketing claim ("Our team can create automations for you… At no extra cost!"). When I chatted with Integrately's support reps, they outlined how to create my requested automation and offered to set up a live screenshare—but they also explained that they wouldn't actually go into my account to build it for me.

Live chat, therefore, is not the holy grail of automation usability. What most users want is for workflows to magically appear in their account with little to no effort. AI offers something close: it's flexible, responsive, and nearly instant.

While Integrately offers an AI workflow builder, it's not particularly reliable. Despite asking it to create a lead qualification workflow connecting Typeform to HubSpot, Integrately tried to connect to Zoho CRM instead. And rather than logging each lead in a separate Google Sheets row, it decided to create an entirely new Google Sheets worksheet to store each lead.

The Integrately workflow editor

Integrately's automation builder is hard to work with in other ways, too. There's no way to ask its AI assistant for ongoing help, so you're on your own after generating your automation. And because Integrately's interface puts everything in a single vertical column—rather than creating a new column for each path, like Zapier—it can be challenging to visualize multi-path workflows.

Zapier Copilot is far more reliable. You simply type in what you need, sit back, and watch your automation come to life.

Entering a prompt into Zapier Copilot

Within a few seconds, Zapier maps out the whole thing in a clearly-visualized decision tree format. Unlike with Integrately, you can keep chatting with Copilot to make changes to your workflow until you're satisfied. You can also jump in yourself and make changes manually.

Zapier's workflow builder lets you:

  • Add reusable components (Sub-Zaps) to use across workflows

  • Run a set of actions more than once with Looping by Zapier

  • Set up fallback paths and error handling steps to make your workflows more resilient

  • Create nested paths to cover all possibilities

  • Store data so you can reference it later in the same workflow or other workflows

  • Create human-in-the-loop workflows that pause for review and approval

If you're interested in creating AI-driven workflows, Zapier has more to offer than Integrately. While both platforms let you connect to Gemini, ChatGPT, or Claude, Zapier features built-in AI action steps that integrate seamlessly with the rest of your automation. For example, you could use AI by Zapier to automatically classify inbound leads into categories—like enterprise, SMB, self-serve, or "not a fit"—before funneling them into relevant paths.

The Zapier editor with a complex workflow

Integrately is automation-only; Zapier offers complete AI orchestration

Some users only need simple "if this, then that" automations connecting two apps. Integrately is built primarily for that use case. But for most businesses, the real productivity gains and cost savings arrive when you create fully automated business systems that change how you get work done.

Zapier goes far beyond automation. Its AI orchestration platform includes a full suite of products, from agents to forms, all of which work seamlessly together.

While Zapier's workflows are powerful on their own, they're even more capable when combined with other Zapier products like databases, forms, agents, chatbots, and process mapping. Even beginners can use Zapier Copilot to create automated business systems like employee onboarding portals and AI-powered help desks.

For example, Premiere Property Group, a real estate brokerage, created a custom employee onboarding system by combining automations, tables, and forms. With Zapier, they were able to avoid the need for a $100,000+ HR platform while automating onboarding account setup, welcome emails, and CRM updates.

While you could theoretically create something like this with Integrately, you'd have to string together multiple third-party products to handle functions like data storage and forms. That means more complexity, higher subscription costs, and a greater likelihood that one piece of the puzzle will break.

Zapier offers far more control for teams and enterprises

Integrately offers a handful of team features. Its $99/month Growth plan and $239/month Business plan let you add unlimited users, share tasks within your workspace, and add folder permissions. While this might be workable for small teams where a few people manage all the automations, it's hard to scale and doesn't offer much in terms of governance.

Zapier is built for organizations and can scale to any size. Zapier's Team plan starts at $69/month and includes up to 25 users, while the Enterprise plan includes unlimited users and adds advanced admin permissions and app controls.

Governance controls include:

  • Role-based access control to define who can create, edit, view, or manage automations

  • App and action restrictions that block your team from creating certain workflows

  • Owner and super admin access that lets you see every asset across all accounts

  • Audit logging that shows logins, asset creation, and other activity

  • SCIM provisioning that automatically provides, updates, and revokes Zapier access

  • Approval workflows that require one or multiple reviews before publishing

  • Admin hub with real-time analytics, account-wide activity, and security monitoring

Once your IT team defines the rules and boundaries that make sense for your organization, it's far easier to scale automation and AI faster by empowering each team to create the workflows they need. Meanwhile, admins get a bird's-eye view of everything that's happening and can focus their attention on specific security and compliance risks rather than micromanaging every new workflow.

The Zapier admin dashboard

Zapier is more proven for business-critical workflows

Some automations are nice to have, but not critical. If they fail, no customers or revenue are lost, and no important operations are disturbed. You might lose a bit of productivity, but it's usually easy to troubleshoot the issue and rerun the workflow. Social media cross-posting, internal Slack notifications, and content production workflows fall into this category.

Business-critical automations are different. When they fail, they cost you money, disappoint customers, or throw a wrench into your internal operations. Reliability matters far more here, and failure is an all-hands-on-deck, stop-what-you're-doing emergency.

Zapier is built for mission-critical workflows. Over 15+ years, Zapier has automated a total of 81+ billion tasks for millions of businesses and 69% of Fortune 1000 companies. That kind of volume surfaces every API edge case and data formatting issue you can imagine, which means Zapier's infrastructure is battle-tested in ways newer platforms simply can't match.

Zapier's 99.9% uptime and reliable task execution is supported by:

  • Real-time health checks

  • Multi-region redundancy

  • Intelligent throttling

  • Proactive error handling

  • Scalable architecture that handles millions of monthly task runs

Zapier meets enterprise-grade standards, including SOC Type II, SOC 3, GDPR, and CCPA compliance, and offers a unified admin center that includes audit logs and account-wide analytics.

The Analytics dashboard in Zapier

Integrately is a newer platform—founded in 2020—and doesn't have the same enterprise track record. While it can work for occasional "nice to have" automations, it's not the best choice for anything that impacts revenue: Integrately doesn't publish an uptime guarantee, doesn't offer dedicated error-handling steps or failure-routing paths, and doesn't support audit logs or detailed step-level execution logs.

Zapier connects with 6x more apps than Integrately

Integrately connects with 1,400+ apps, with a focus on popular small business tools like Mailchimp, Shopify, and Jotform. However, the selection is more limited when it comes to enterprise software, developer platforms, analytics and IT tools, and specialized industry apps. If Integrately doesn't offer what you need, you can ask their team to build an integration for you and they'll add your request to the queue—but there's no way to integrate apps yourself unless basic webhooks are enough.

Zapier offers 8,000+ integrations—more than any other automation platform—and dozens of new integrations, triggers, and actions are added every month. This active development makes it much more likely you'll find exactly what you need. For example, requests for Evernote, Canva, and Proposify integrations have lingered on Integrately's community-driven roadmap for 5+ years; Zapier offers robust integrations for each of them.

Whether you can find integrations for the apps you use is the first and most important question, but triggers and actions also dictate whether you can create the workflows you need. Both Zapier and Integrately have solid coverage, but Zapier offers more. For example, Zapier's Slack integration offers twice as many action events as Integrately's, including Request Approval (important for human-in-the-loop steps), Edit Message and Delete Message, and Send Scheduled Message.

Integrately appears cheaper, but Zapier's workflows use fewer tasks

Integrately positions itself as a cheaper alternative to established platforms like Zapier. At first glance, its pricing looks compelling: $39/month gets you 10,000 tasks, whereas with Zapier, that task volume costs $129/month. If you're using "tasks per dollar" to decide which platform to go with, Integrately's model initially seems like a prudent choice for budget-conscious businesses that need no-frills automation.

But the real picture is murkier because Integrately and Zapier have different definitions of what qualifies as a "task." With Zapier, only completed actions count as tasks; internal logic steps like filters, paths, and formatting are free. With Integrately, internal logic counts against your tasks.

As a result, your workflows can easily end up being more expensive with Integrately, despite technically getting more tasks per dollar. For example, imagine you have a lead routing workflow that looks like this:

  • A new form submission triggers your automation

  • You want to filter leads to exclude those that don't meet budget and company size criteria

  • You need to format data like company and contact name to normalize it in your CRM

  • You want to route leads to different teams depending on the region

  • Once all of this is done, you upload the lead to your CRM

With Zapier, only the final "upload to CRM" step uses a task. With Integrately, everything after the trigger counts as a task. Zapier's free filters make a particularly big difference in task usage: if 100 prospects submit a form but only 10 of them make it through your filters, Zapier would use at least 10x fewer tasks than Integrately—and that's before accounting for other steps like formatting and routing.

Zapier also includes far more value. While Integrately restricts features like auto-retry and if/else branching to its pricier plans, Zapier gives you full platform access immediately. And with Zapier, you get a full AI orchestration ecosystem that lets you build agents, chatbots, apps, and entire business systems.
