In this role, you’ll support the Events & Experiences Manager to help plan and execute company-wide and team retreats. About You

    • You've planned events. You've had 3+ years experience planning events for 300+ attendees in a professional setting. You have an understanding of the complex needs of different events and employee needs. 
    • You wear many hats. There is no task too big or too small. You're excited to help make Zapier's events special for every team member at Zapier.

    • You’re creative and resourceful. You work to find the many angles to solve problems and come up with innovative solutions. You're familiar with working with budgets and how to create amazing experiences within them.

    • You're adaptable. You work well in a fast paced environment. You're comfortable with constant change and you plan for multiple different scenarios.

    • You’re solid at time management. You’ll juggle a variety of fast-moving projects, and as a part of a distributed team, you’ll be trusted to work with minimal supervision. As a part of a growing company, you have an opportunity to make a big impact, and you’re keen to build processes that’ll make your job more efficient over time.

    • You’re an excellent written communicator. We’re also a 100% remote team, and writing is our primary means of communication at Zapier.

 

Things You’ll Do

    • Assist the Events & Experiences Manager in sourcing venues and vendors.
    • Maintain a working relationship with vendors and venues.

    • Assist in coordinating event entertainment, including talent, catering, team activities, etc.

    • Manage the micro logistics of multiple events simultaneously.

    • Manage overall timeline process and follow up on tasks, research and information for event-related items requested by Events & Experiences Manager

    • Be attentive to the value of staying under budget while planning event specifications.

    • Help manage and oversee events onsite where necessary, including problem-solving, welcoming attendees, event set-up/breakdown, check-in, shipping, volunteers, hotel staff, and organizing vendors.

    • Be responsible for day-to-day management of the Events team resources by organizing and updating important documents, invoices, quotes, etc. during the retreat planning process.

    • Book travel arrangements for the company and update the travel grid.

    • Communicate with internal teams for event assets, and coordinating logistics

    • Travel up to 25% for company retreats which rotate to various cities throughout North America. Farther International travel may become necessary as the teams grow.
