Zapier Outpost Attendee Agreement

Thank you for your interest in attending Zapier Outpost (the "Event")! By registering for the Event, you agree to the following terms and conditions (this "Agreement"), which form a binding legal contract between you ("Participant") and Zapier, Inc. ("Zapier"). If you are unwilling or unable to agree to this Agreement, you may not participate in the Event.



1. Participant Requirements


1.1 Age Requirement. You represent and warrant that you are at least 21 years old and have the legal authority to enter into this Agreement.


1.2 Invitation Only. Participation in the Event is by invitation only and subject to approval by Zapier.


1.3 Code of Conduct. You agree to abide by the Zapier Events Code of Conduct, which is incorporated by reference. Zapier reserves the right to remove participants from the Event for violations of the Code of Conduct or behavior that disrupts the experience for others.



2. Content Release and Use of Likeness


2.1 Recording and Media Release. You acknowledge and agree that the Event may be recorded, filmed, livestreamed, or photographed. You grant Zapier and its agents the right to capture and use your name, likeness, voice, statements, company name, company logo, and other attributes in any media now known or later developed for promotional including advertising, editorial, marketing, or internal purposes.


2.2 Perpetual License. This grant is perpetual, royalty-free, worldwide, and irrevocable. It includes the right to edit, combine, distribute, and sublicense such media.


2.3 Public Recognition. You consent to Zapier tagging you and/or your company on LinkedIn and similar platforms, unless you opt out in writing.



3. Travel, Accommodations, and Covered Costs


3.1 What’s Covered. Zapier will cover round-trip flights booked through Navan, on-site ground transportation, hotel accommodations for the program duration, and meals from dinner on Day 1 through breakfast on Day 3.


3.2 Out-of-Scope Costs. Participants are responsible for any expenses incurred outside the official program, including early arrivals, extended stays, hotel incidentals, and other personal expenses.


3.3 Booking Platform. All travel must be booked through Navan. Out-of-policy bookings will not be reimbursed unless explicitly approved in writing.


3.4 Reimbursements. If reimbursements are approved (e.g., for taxis or local transportation), they must be submitted through Brex with appropriate documentation.


3.5 Insurance. Participants are responsible for securing their own travel, health, and personal insurance coverage.



4. Cancellations and Attendance


4.1 Cancellation Notice. Participants must notify Zapier of any cancellation at least seven (7) days before the Event. Late cancellations or no-shows may affect eligibility for future invitations.


4.3 Zapier Discretion. Zapier reserves the right to cancel the Event or your individual participation at any time for any reason.



5. Data Privacy and Use


5.1 Privacy Policy. Zapier will handle your personal data in accordance with its Privacy Policy.


5.2 Data Use. Your data may be used to coordinate logistics, administer the Event, and facilitate networking.


5.3 Participant Visibility. Your name, role, and company may be shared with other attendees and used in internal or external communications.


5.4 Marketing Communication. You may be invited to opt into public recaps or event-related social media campaigns. Participation in such initiatives is voluntary.



6. Assumption of Risk and Liability Waiver


6.1 Risk Acknowledgment. The Event may include outdoor activities, off-site experiences, and travel. You acknowledge that participation involves inherent risks.


6.2 Voluntary Participation. You voluntarily assume all risks associated with attending and participating in the Event.


6.3 Waiver of Liability. To the maximum extent permitted by law, you release and hold harmless Zapier, its affiliates, officers, agents, and contractors from any and all claims related to property damage, injury, illness, or loss arising from your participation.


6.4 Third-Party Services. Zapier is not liable for acts or omissions of third-party vendors or transportation providers.



7. Event Changes and Force Majeure


7.1 Event Modifications. Event dates, venues, activities, and participant lists are subject to change.


7.2 Cancellation. Zapier may cancel or postpone the Event at its sole discretion. Zapier is not responsible for costs incurred by participants in preparation for the Event.



8. Influencer-Specific Terms (if applicable)


8.1 Separate Agreement. If you are participating as an influencer and receiving compensation, a separate influencer agreement may apply. This Agreement does not replace or supersede that agreement.


9. Governing Law and Venue


9.1 Jurisdiction. This Agreement is governed by the laws of the State of Delaware.


9.2 Venue. All disputes shall be brought exclusively in courts located in Wilmington, Delaware.


By registering for the Event, you acknowledge that you have read, understood, and agreed to this Agreement.
