Signing up for Zapier's free plan takes just an email address, and most first-time users publish a working Zap within 15-20 minutes. Integrately can match that speed if the automation you need already exists. But if what you need isn't already in Integrately's library, or requires any branching, filtering, or multi-app logic, you're switched into a separate Automation Builder, where you configure the trigger and each action manually, node by node. 

Some users only need those simple "if this, then that" automations connecting two apps. But for most businesses, the real productivity gains and cost savings arrive when you create fully automated business systems that change how you get work done.

Zapier's workflow builder lets you:

Zapier connects with 6x more apps than Integrately, and they cover a broad range of industries and business types—while Integrately's skew toward small business tools. 

Integrately connects with 1,500+ apps, with a focus on popular small business tools like Mailchimp, Shopify, and Jotform. The selection is more limited when it comes to enterprise software, developer platforms, analytics and IT tools, and specialized industry apps. If Integrately doesn't offer what you need, you can ask their team to build an integration for you, and they'll add your request to the queue—but there's no way to integrate apps yourself unless basic webhooks are enough.

Zapier offers 9,000+ integrations—more than any other automation platform—and dozens of new integrations, triggers, and actions are added every month. This active development makes it much more likely you'll find exactly what you need. For example, requests for Evernote, Canva, and Proposify integrations have lingered on Integrately's community-driven roadmap for over five years; Zapier offers robust integrations for each of them.

Whether you can find integrations for the apps you use is the first and most important question, but triggers and actions also dictate whether you can create the workflows you need. Both Zapier and Integrately have solid coverage, but Zapier offers more. For example, Zapier's Slack integration offers twice as many action events as Integrately's, including Request Approval (important for human-in-the-loop steps), Edit Message, Delete Message, and Send Scheduled Message.

Both platforms are approachable for beginners, but Zapier Copilot builds and revises your workflow through conversation, while Integrately's AI builder can't be corrected once it gets something wrong—you start over instead.

Integrately isn't shy about its focus: simplicity. Unlike Zapier, Integrately only offers automations, and while that approach has drawbacks, it also enables a straightforward set of options for beginners who only need to connect one app to another.

Integrately gives you a few ways to create automations:

• Use Integrately AI to generate workflows by describing what you need.

• Select a ready-made automation (like Create ClickUp task for new Trello card).

• Ask Integrately's team to guide you on live chat or via a screenshare.

What sets Integrately apart from other automation platforms is its live chat support, which is available on all plans (including free plans). While this level of support is a nice perk if you're a complete beginner, it's less comprehensive than its marketing claim ("Our team can create automations for you… At no extra cost!"). When I chatted with Integrately's support reps, they outlined how to create my requested automation and offered to set up a live screenshare—but they also explained that they wouldn't actually go into my account to build it for me.

Live chat, therefore, is not the holy grail of automation usability. What most users want is for workflows to magically appear in their account with little to no effort. AI offers something close: it's flexible, responsive, and nearly instant.

While Integrately offers an AI workflow builder, it's not particularly reliable. Despite asking it to create a lead qualification workflow connecting Typeform to HubSpot, Integrately tried to connect to Zoho CRM instead. And rather than logging each lead in a separate Google Sheets row, it decided to create an entirely new Google Sheets worksheet to store each lead.

Integrately's automation builder is hard to work with in other ways, too. There's no way to ask its AI assistant for ongoing help, so you're on your own after generating your automation. And because Integrately's interface puts everything in a single vertical column—rather than creating a new column for each path, like Zapier—it can be challenging to visualize multi-path workflows.

Zapier Copilot is far more reliable. You simply type in what you need, sit back, and watch your automation come to life.

Within a few seconds, Zapier maps out the whole thing in a clearly-visualized decision tree format. Unlike with Integrately, you can keep chatting with Copilot to make changes to your workflow until you're satisfied. You can also jump in yourself and make changes manually.

Zapier gives you a full AI orchestration platform, while Integrately offers automations only, with no native AI steps and no MCP server at all.

Say you're working in Claude. You want to pull a number from last month's report before replying to a client, then send an update to your team in Slack. Without MCP, you stop, switch apps, find what you need, and come back. With Zapier MCP, Claude can handle both tasks without you leaving the conversation.

Since Integrately has no MCP server, it can't help you at all if your team does real work inside AI tools like Claude or ChatGPT. Zapier MCP lets you connect one server, and your AI can take action across 9,000+ apps on demand. It works with every major AI client, including Claude, ChatGPT, and Cursor. Your Zapier connection stays exactly the same even if you switch AI tools tomorrow. 

For example, NoPlex, a small AI-native company, uses Claude for decision-making and Zapier MCP for taking action across Google Workspace, Slack, Gmail, and Sheets. A single Claude conversation can generate weekly analytics reports, triage their email inbox, and send team notifications.

If you just want to add AI steps to your deterministic workflows, Zapier has more to offer than Integrately. While both platforms let you connect to Gemini, ChatGPT, or Claude, Zapier features built-in AI action steps that integrate seamlessly with the rest of your automation. For example, you could use AI by Zapier to automatically classify inbound leads into categories—like enterprise, SMB, self-serve, or "not a fit"—before funneling them into relevant paths.

Integrately has no built-in AI steps of its own: to bring AI into a workflow, you connect ChatGPT or Claude using your own OpenAI or Anthropic account, so you're paying token costs on top of Integrately's task for the step. With AI by Zapier's built-in connection, there's no separate AI bill. Using one of Zapier's standard AI models costs just a task, the same as any other step.

Zapier meets enterprise-grade compliance standards and offers all the governance features enterprises need, while Integrately offers basic security features and is missing key governance features like audit logs.

Integrately offers a handful of team features. Its Growth and Business plans let you add unlimited users, share tasks within your workspace, and add folder permissions. That might be workable for a small team where a few people manage all the automations, but it's hard to scale and doesn't offer much in the way of governance.

Zapier is built for organizations and can scale to any size. Zapier meets enterprise-grade standards, including SOC 2 Type II, SOC 3, GDPR, and CCPA compliance, and offers a unified admin center that includes audit logs and account-wide analytics. 

Zapier's governance controls include:

• Role-based access control to define who can create, edit, view, or manage automations

• App and action restrictions that block your team from creating certain workflows

• Owner and super admin access that lets you see every asset across all accounts

• Audit logging that shows logins, asset creation, and other activity

• SCIM provisioning that automatically provisions, updates, and revokes Zapier access

• Approval workflows that require one or multiple reviews before publishing

• Admin hub with real-time analytics, account-wide activity, and security monitoring

Once your IT team defines the rules and boundaries that make sense for your organization, it's far easier to scale automation and AI faster by empowering each team to create the workflows they need. Meanwhile, admins get a bird's-eye view of everything that's happening and can focus their attention on specific security and compliance risks rather than micromanaging every new workflow.

Integrately's sticker price is lower, but it charges for internal logic steps that Zapier gives away for free—so the cheaper-looking plan can end up costing more once a workflow has any real logic in it.

Integrately positions itself as a cheaper alternative to established platforms like Zapier. At first glance, its pricing looks compelling: $39/month gets you 10,000 tasks, whereas with Zapier, that task volume costs $129/month. If you're using "tasks per dollar" to decide which platform to go with, Integrately's model seems like a prudent choice for budget-conscious businesses that need no-frills automation.

But the real picture is murkier because Integrately and Zapier have different definitions of what qualifies as a "task." With Zapier, only completed actions count as tasks; internal logic steps like filters, paths, and formatting are free. With Integrately, internal logic counts against your tasks.

As a result, your workflows can easily end up being more expensive with Integrately, despite technically getting more tasks per dollar. For example, imagine you have a lead routing workflow that looks like this:

• A new form submission triggers your automation

• You want to filter leads to exclude those that don't meet budget and company size criteria

• You need to format data like company and contact name to normalize it in your CRM

• You want to route leads to different teams depending on the region

• Once all of this is done, you upload the lead to your CRM

With Zapier, only the final "upload to CRM" step uses a task. With Integrately, everything after the trigger counts as a task. Zapier's free filters make a particularly big difference in task usage: if 100 prospects submit a form but only 10 of them make it through your filters, Zapier would use at least 10x fewer tasks than Integrately—and that's before accounting for other steps like formatting and paths.

Zapier also includes far more value. While Integrately restricts features like auto-retry and if/else branching to its pricier plans, Zapier gives you full platform access starting with the lowest-tier paid plan. Integrately also has no built-in AI steps. To bring AI into a workflow, you'd connect to ChatGPT or Claude as external apps, with each call burning tasks as well as tokens. With Zapier, AI is native to the workflow layer: you can add an AI step directly, and using the default model counts as just one task. And with Zapier, you get a full AI orchestration ecosystem that lets you build agentic workflows, apps, and entire business systems.

Some automations are nice to have but not critical. If they fail, no customers or revenue are lost, and no important operations are disturbed. You might lose a bit of productivity, but it's usually easy to troubleshoot the issue and rerun the workflow. Social media cross-posting, internal Slack notifications, and content production workflows fall into this category.

Business-critical automations are different. When they fail, they cost you money, disappoint customers, or throw a wrench into your internal operations. Reliability matters far more here, and failure is an all-hands-on-deck, stop-what-you're-doing emergency.

Zapier is built for mission-critical workflows. Over 15+ years, Zapier has automated 81+ billion tasks for millions of businesses and 69% of Fortune 1000 companies. That kind of volume surfaces every API edge case and data formatting issue you can imagine, which means Zapier's infrastructure is battle-tested in ways newer platforms simply can't match.

Zapier's proven reliability is supported by:

• Real-time health checks

• Multi-region redundancy

• Intelligent throttling

• Proactive error handling

• Scalable architecture that handles millions of monthly task runs

Integrately is a newer platform, founded in 2020, and doesn't have the same track record. It can work fine for occasional nice-to-have automations, but it's not the best choice for anything that touches revenue. AutoRetry automatically retries records that failed in the last 24 hours and will keep trying to reconnect to a downed app for about 10.5 hours, and its History tab shows a status per automation stage, along with the specific error message when something breaks. But Integrately doesn't offer a public status page, flood protection, or a compliance-style audit trail—so more of the burden falls on you to notice and fix failures yourself.
