Overview

When a Zapier detects that a file has been deleted, it searches your Airtable Asset Index for the matching record by File ID and updates it to reflect the deletion and adds the prefrix (deleted)_, stamping a deletion day timestamp, and setting a Deleted flag to true. The record is preserved for audit purposes, not removed.

This Zap is the companion to the Log Frame.io asset info to Airtable template. Together they index your assets in both directions by logging new assets as they are added and flagging them when they are deleted.

This Zap requires the Log Frame.io asset info to Airtable companion Zap to be set up first. The File ID field populated by that Zap is what this Zap uses to find and update the correct record.

If an asset that was never logged in Airtable, the find record step will return no match, and the Zap will stop without making any changes.

Deleted records are marked and preserved, not removed. This keeps your audit trail intact and allows you to filter or hide deleted records in Airtable views without losing the history.
