Overview

ERG leaders spend hours each month manually scrolling through Slack to count posts, reactions, and comments for leadership reports. Volunteer coordinators have better things to do than spreadsheet archaeology — but without engagement data, it is hard to know what content resonates or where to invest programming energy.

This template automatically captures every message and emoji reaction in your ERG Slack channel, logs them to a Zapier Table, and uses a Zapier Agent to generate and post a monthly AI-powered insights report to your private leadership channel. No manual counting. No end-of-month scramble.

Why ERG leaders use this template

Use it to track message, reaction, and comment volume across your ERG channel automatically, identify top-performing posts and engagement trends each month, and give leadership clear visibility into community health without adding admin overhead to volunteer leaders.

How it works

Two Zaps monitor your ERG Slack channel — one for new messages, one for reactions — and log each event to a Zapier Table with post metadata and engagement counts. When someone reacts to a reply inside a thread, that reaction rolls up to the parent post so each row reflects total conversation activity, not just top-level messages. On the first of each month, a Zapier Agent reads the previous month's table data, analyzes patterns with AI, and posts a formatted insights report to your private leadership Slack channel. The report includes total posts, reactions, comments, top-performing content, Watercooler highlights, and trend analysis.

What you'll need

A Slack workspace with your ERG channel and a private leadership channel, Zapier Tables for the engagement database, and your Slack account connected in Zapier. After install, update the channel selections to point to your ERG channel and leadership channel, and add first names for your ERG leadership team to the lookup table.

Frequently asked questions

What does this template do?

This template automatically captures every message and emoji reaction posted in your chosen ERG Slack channel and logs them to a Zapier Table. On the first day of each month, a Zapier Agent reads the previous month’s data, analyzes it using AI, and posts a formatted engagement report to your private leadership Slack channel -- including total posts, total reactions, total comments, top-performing posts, and engagement trends.

What Zapier products does this use?

The template uses two Zaps (one for message tracking, one for reaction tracking), a Zapier Table as the engagement database, and a Zapier Agent that runs monthly to generate and deliver the insights report. It also uses ChatGPT (OpenAI) inside the Agent to analyze the data.

Do I need to know how to code to use this?

No coding required. Once you install the template, you will need to connect your Slack account, update the channel selections to point to your ERG Slack channel and leadership channel, and update the leadership lookup table with the first names of your ERG leadership team members. Everything else runs automatically.

What does the monthly insights report include?

The AI-generated report includes: total number of posts for the month, total reactions, total comments, the post with the most reactions, the post with the most comments, the best-performing Watercooler post, and additional analysis on engagement patterns and content trends. The report is delivered as a Slack thread in your leadership channel for easy reading.

Can I use this for any Slack channel, not just ERGs?

Yes. While this template was built by and for an ERG team, it works for any Slack channel where you want to track engagement -- team channels, community channels, interest groups, and more. Just point the Zaps and Agent to your channel of choice.

How does reaction tracking work for threaded conversations?

When someone reacts to a reply inside a thread, that reaction is counted against the parent (top-level) post, not the individual reply. This means each row in your table reflects total engagement for the parent post and all of its replies combined, giving you a true picture of how much activity a given post generated.

What happens to messages posted before I turn on the Zaps?

The Zaps only capture new activity from the moment they are turned on. Historical messages and reactions will not be backfilled automatically. If you want to include past data, you would need to manually enter those records into the Zapier Table.

Can I change when the monthly report runs?

Yes. The Agent is triggered by a Schedule by Zapier step set to the 1st of every month at 8 AM. You can adjust the day and time in the Agent’s trigger settings to match your team’s preferences.

What AI model is used to generate the report?

The template defaults to ChatGPT (gpt-4o and gpt-4o-mini), but you can swap in any AI model supported by Zapier -- you are not locked to OpenAI. You also do not need your own API key. Zapier provides free built-in model authentication, so you can use Zapier's model access without connecting a separate AI account.
