How our idea backlog template works
Using one Zap, this template creates a comprehensive idea management system. Here's how it works:
- When an idea comes to mind, open your JotForm and record your idea using the voice recorder.
- Categorize your idea as a Task, Event, or Email.
- Submit your form, and let the Zaps to take over. Based on the category you chose in the previous step, the idea will automatically route to the appropriate destination:
Tasks are created in Asana, allowing you to track and act on actionable ideas. Events are added to your calendar, ensuring you don't miss out on time-sensitive opportunities. Emails are drafted and sent, helping you communicate your ideas quickly and efficiently.
- Every submitted idea, regardless of its category, gets stored in a central idea backlog. And the best part is you can choose whether you’d prefer it to live in Asana, get an email via Gmail, or add it to your Google Calendar. This serves as a comprehensive repository of your creativity, letting you revisit and review your ideas at any time.
By automating these processes, the template frees you up to use your creative energy on generating ideas and bringing them to life—not on organizational tasks.

- Set up your JotForm — Create a form with fields for Voice Recorder (for audio uploads) and Type (to categorize submissions as tasks, events, or emails).
- Set up your Asana project — Create a new project and add any additional fields you'd like—such as idea status or timeline.
(Note: This template comes ready to use with JotForm and Asana, but you can swap in any form builder or project management tool that integrates with Zapier.)
- Configure each Zap — Follow the setup instructions for the Zap, making sure you add mandatory and custom values like your email address.
- Test and publish — Testing your Zaps is key to making sure this template works the way you expect it to. So before you publish, submit the form multiple times, selecting a different category each time (Task, Event, and Email).
