We're really trying to streamline all the different places our leads live, so this Zap was integral in pulling leads from Facebook land into a place our team was already functioning with leads AND emailing the person interested in the exact moment they expressed interest.
The initial trigger is the Facebook Lead Ad Form, which we parsed First and Last name out of (our form only asked for full name). We then added them to a lead Google Sheet (this won't go on too much longer, it's just our failsafe right now in case something goes awry in the CRM). Next, it triggers a Slack channel message -- again, this is ultimately unnecessary, but our CEOs like to have a "feel" that our ads are working and people are interested, so it's a bit of a vanity task. After that we start to get into the meat of the automation -- both Klaviyo and Zoho are searched for the person via email to see if they already exist in the system, and they're created if they don't. Next a task is setup in Zoho CRM for our training coordinator to connect with them, attaching their contact record for easy referral for her call. They are also tagged in the CRM as a FB Lead Ad for reporting purposes. Then we step into Klaviyo - The email they receive is sent once they're added to a list, so everything that follows is just to ensure they get into that list. If the system identified they're already in the system, it adds them to the list via email and the Zap ends. If they were determined NOT to be in Klaviyo, there's another split based on whether or not they have a US phone number -- if they do, a Klaviyo profile is created with both their email and phone number, then they're added to the list; if they don't, a Klaviyo profile is created with JUST their email, and they're added to the list. That ends the workflow for everyone!
