Make sure ideas don't get lost or forgotten about entirely by recording voice notes and routing them to your idea backlog of choice.
Ever had a brilliant idea pop into your head, only to forget it moments later? Or perhaps you've struggled to keep track of all the innovative thoughts that come to you throughout the day. With this template, you can effortlessly capture and organize those ideas, so no spark of creativity ever gets lost again.
This template combines the power of JotForm's easy-to-use forms with Asana's robust project management capabilities, creating a system that transforms your fleeting thoughts into actionable items—be they tasks in Asana, calendar events, or emails.
Using one Zap, this template creates a comprehensive idea management system. Here's how it works:
When an idea comes to mind, open your JotForm and record your idea using the voice recorder.
Categorize your idea as a Task, Event, or Email.
Submit your form, and let the Zaps to take over. Based on the category you chose in the previous step, the idea will automatically route to the appropriate destination:
Tasks are created in Asana, allowing you to track and act on actionable ideas. Events are added to your calendar, ensuring you don't miss out on time-sensitive opportunities. Emails are drafted and sent, helping you communicate your ideas quickly and efficiently.
By automating these processes, the template frees you up to use your creative energy on generating ideas and bringing them to life—not on organizational tasks.
Set up your JotForm — Create a form with fields for Voice Recorder (for audio uploads) and Type (to categorize submissions as tasks, events, or emails).
Set up your Asana project — Create a new project and add any additional fields you'd like—such as idea status or timeline.
(Note: This template comes ready to use with JotForm and Asana, but you can swap in any form builder or project management tool that integrates with Zapier.)
Configure each Zap — Follow the setup instructions for the Zap, making sure you add mandatory and custom values like your email address.
Test and publish — Testing your Zaps is key to making sure this template works the way you expect it to. So before you publish, submit the form multiple times, selecting a different category each time (Task, Event, and Email).
This template is perfect for:

Absolutely. While the template comes with pre-set categories (Task, Event, Email), you can easily modify these to fit your specific needs. You might add categories like "Blog Post Idea," "Product Feature," or "Personal Goal," for example.
No problem. Once an idea is in your system (whether in Asana, your calendar, or your email drafts), you can always go back and add more details, attach files, or make changes as your idea develops.
Yes, it can. While the template is set up to work with JotForm and Asana, Zapier supports hundreds of apps. You could potentially adapt this template to work with other form builders, project management tools, or productivity apps that suit your workflow.
