Fieldbook Review

Spreadsheets are great for crunching numbers, but not so great at letting you treat each row as its own set of data and referencing data from other sheets. Databases are great at that, but not so good at the number crunching side of things.

What if you put them together, along with a form tool to gather data? You'd get something like Fieldbook, a new spreadsheet-like database app that makes it easy to manage your data.

Data comes first. Start your Fieldbook database by importing an existing spreadsheet of data—or use one of Fieldbook's template databases to get a feel for what's possible. Or, start from scratch with a blank database. Fieldbook will help you set it up quickly, suggesting common column names for some of the most popular use cases like contact lists and inventory management.

You can then add new data to your database the old fashioned way by typing it in each row. Or, you can add a form to Fieldbook to enter data in a standard online form, one you can share with others so they can enter data for you. You can also use Fieldbook's integrations to add new data automatically from your other apps.

Now the fun part—putting the data to work. If you have a column in Fieldbook with numbers, you'll already likely see a quick Sum value at the bottom of your sheets under your last row. Click that to see the column's average, max, number of blank or non-blank cells, and more. Or, click a data entry to see that one row in a form view, for a simpler way to look at its data away from the rows and columns. Then, you can add spreadsheet-style functions to Fieldbook. Here, functions work only with data in the same row—so you could add a function to add all values from one set of data together, perhaps to find the total sale price along with a sales tax calculation. Write the formulas spreadsheet-style (here's a list of supported functions in Fieldbook), using column names like Price where you might type a cell name like C3 in a standard spreadsheet. Once you've added the function to a row, that function will be used in that entire column on every other row automatically. That's a great way to quickly type the functions you need to run on every piece of data in your database.

But what about referencing data? In a normal spreadsheet, you could have some extra data—perhaps your tax rate—in a cell off in the corner, and just reference it by typing =C3 whenever you need it. Fieldbook is a database, so you'll link records instead. Click the Link Sheets column at the top of the sheet, select the column you want to link then click the sheet on the left side of Fieldbook that you want to link it with. Now, you can keep detailed info about, say, your products, and easily populate that data into every order automatically—and then use that linked data in your functions.

Your databases will quickly get filled with details, and sometimes it might be hard to find exactly what you're looking for. Just search for what you want in the search bar at the top, where you could type in just a single word or add a full filter to show just the data you need. And if you need to lookup that set of data often, just save it as a new view and you can see that one set whenever you need.

Managing your data doesn't have to be so hard. Instead of building an in-house app when you've outgrown your spreadsheets, Fieldbook can manage your data in a database without making you leave your spreadsheet functions behind.
