Schedule Zaps to run at specific intervals

Last updated:

Schedule by Zapier is a built-in feature of Zapier that lets you set up a Zap to run at a specific interval. Typically, Zaps only run when a trigger event occurs in an app, but with schedule triggers, you can choose to run your Zap every month, week, day, or even hour.

You want to add a new task to your task management app at the start of every week to set your weekly goals. You can set up a Zap using a schedule trigger that runs every Monday at 11 AM, then add an action step to add the new task to your task management app.

Schedule triggers use the timezone set in your account. For example, if your schedule trigger is set at the exact hour that the switch to Daylight Savings Time happens, the Zap won't trigger the time technically did not occur.

Set up your schedule trigger

  • In the Zap editor, go to the 1. When this happens step.
  • In the Choose App & Event section, search for and select Schedule by Zapier.
  • Click the Choose Trigger Event dropdown menu and select the frequency at which you want the Zap to run:
    • Every week, on the day of your choice
    • Every day, at the time of your choice
    • Every month, on the date of your choice
    • Every hour
  • Click Continue.

If you want to base your Zap on a recurring event that doesn't occur at regular intervals, you can use Google Calendar's Event Start trigger to run your Zap when the recurring event starts.

  • Next, customize exactly when you want the Zap to run. For example, if you selected Every Week, you'll select the Day of the Week and Time of Day.
  • Click Continue.

Day of the week and time of day

If you want more granular control over when your schedule trigger runs, you can pair it with filters and delays. For example, if you want to run your Zap on a specific day of the week with some exceptions, you can add a filter so your Zap only runs then.

  • Click Test & Continue.

Once you’ve set up your trigger, you’re ready to continue setting up the rest of your Zap.

Due to polling intervals for triggers, your schedule trigger might not run at the exact minute you specify. For instance, if you schedule a Zap to run at 5 PM daily, it will run the first time your Zap polls after 5 PM, which could be anywhere between 5:01 and 5:15 PM depending on your Zap's polling cycle.
